Job Description

The rendering and controlling of commercial and administrative functions to ensure the efficient and cost effective operation of the Trade Energy Division.

Maintain and improve on the quality, efficiency and confidentiality of services rendered, in support of the “Customer Services” policy and minimize client complaints and claims.  Ensure that monthly KPI targets (minimum 85%) is reached and maintained.  Liaise with and assist Branch and Line Management.  Assist with the application and reviewing of cost control measures.  Assist Management with the review of the Departmental and Divisional expenses.  Liaise with clients and suppliers as needed.  Capturing of leave applications and printing of pay-slips on ESS.  Control the completion of time sheets, overtime sheets, attendance registers, etc.  Obtain quotations as per purchasing procedure.  Keep direct superior informed regarding progress and/or nonconformance.  Perform and oversee general office administration duties, including reception services.  Have professional front line contact with all stakeholders.  Invoicing.  Assist with compiling of Job Cost Estimates.  Follow up on outstanding client payments (DSO).  Oversee and assist with the coding of Supplier Invoices, preparing of Purchase Orders and forwarding to Head Office for finalization/payment.  Receiving of orders on I-Poc financial system.  Oversee the reconciliation of Petty Cash and Payment Vouchers and forwarding to the Financial Division.  Oversee and assist to maintain the document archives of the Division and Departments.  Online travel and transportation bookings.  Arranging meetings, refreshments for the meetings, as well as taking of minutes.  Accommodation bookings when required.  Adhere to all quality and safety requirements of the SGS management system.  Perform any other reasonable tasks as assigned by the direct line manager

Qualifications

Minimum Grade 12 (Matric) or necessary experience.  Computer Literacy in word and excel.
